Job Description

Position Title: Bar Manager

Reports To: Business Owner

Direct Reports: Duty Manager(s), Bar Staff, and other relevant staff as required.

Purpose of Position:

To oversee and manage all bar operations at The Whitianga Hotel, ensuring an exceptional guest experience and efficient business performance. This role involves leading and developing the bar team, maintaining the highest standards of service, and ensuring smooth day-to-day operations while driving profitability and operational excellence.

Authority:

  • Full authority over bar operations, including staffing, product selection, inventory management, and performance.
  • Authority to implement changes to staffing, bar procedures, and product offerings with approval from the Manager.
  • Authority to approve expenditure.

Key Responsibilities:

1. Strategic Bar Management:

  • Develop, implement, and monitor strategies to enhance the bar’s overall performance, customer satisfaction, and profitability.
  • Oversee daily bar operations, ensuring the venue runs smoothly and efficiently during all shifts.
  • Create and adjust bar menus, specials, and promotions to attract customers and drive sales.
  • Ensure the bar consistently meets or exceeds The Whitianga Hotel’s service and operational standards.
  • Liaise with the Duty Manager to discuss bar performance, customer feedback, and any operational challenges.

2. Staff Leadership & Development:

  • Manage, lead, and mentor Duty Managers and other bar staff, ensuring they are trained and motivated to deliver high-quality service.
  • Oversee recruitment, training, and performance management of bar staff to ensure a well-trained and efficient team.
  • Conduct regular staff performance evaluations and provide feedback to encourage growth and professional development.
  • Ensure effective communication between staff members, promoting a positive, supportive work environment.
  • Schedule shifts and manage staff workload to meet business demands, ensuring adequate coverage at all times.

3. Customer Experience & Service Excellence:

  • Ensure that all guests are provided with an exceptional bar experience through quality service, excellent product knowledge, and a welcoming atmosphere.
  • Resolve customer complaints or issues swiftly and professionally, ensuring guest satisfaction is always prioritized.
  • Monitor guest feedback and trends, adjusting operations or service standards as necessary to maintain high customer satisfaction levels.
  • Lead by example in providing personalized service, ensuring the bar creates a friendly and inviting atmosphere.

4. Financial Management & Inventory Control:

  • Manage bar budgeting, revenue targets, and cost control measures to maximize profitability.
  • Oversee the ordering, stock control, and rotation of bar inventory, ensuring optimal stock levels, quality, and freshness.
  • Ensure that bar stock is regularly replenished, using the appropriate suppliers and adhering to budgetary constraints.
  • Monitor and control wastage, stock loss, and overstocking through effective inventory systems and regular stock checks.
  • Ensure the bar adheres to financial guidelines and maintains accurate reporting of sales and expenses.

5. Bar Operations & Maintenance:

  • Oversee the maintenance and cleanliness of all bar areas, ensuring hygiene and safety standards are met at all times.
  • Ensure the proper functioning of all bar equipment, ensuring repairs or replacements are managed promptly.
  • Coordinate with the Owner to organize any necessary refurbishments or upgrades to the bar area.

6. Health, Safety, & Licensing Compliance:

  • Ensure compliance with all relevant health and safety regulations, alcohol licensing laws, and company policies.
  • Conduct regular health and safety checks to ensure the bar area, including storage and waste areas, is safe, clean, and compliant.
  • Ensure staff are fully trained in responsible alcohol service and maintain awareness of company and legal responsibilities.

7. Marketing & Promotion:

  • Work with the Manager to develop and implement marketing campaigns or events aimed at increasing bar patronage and enhancing the venue’s profile.
  • Monitor the success of promotional activities and adjust strategies as necessary to achieve business goals.
  • Foster relationships with suppliers to negotiate competitive prices, secure promotional opportunities, and stay up to date on industry trends.

8. Administrative Duties:

  • Maintain records of staff rosters, payroll, and training logs.
  • Prepare and submit reports on bar performance, customer feedback, and staff performance to the Manager.
  • Ensure all health and safety, compliance, and training documentation is kept up to date and easily accessible.

9. Tevalis Point of Sale System:

  • Oversee and manage the use of the Tevalis Point of Sale (POS) system to ensure efficient order taking, accurate billing, and payment processing.
  • Ensure all bar staff are proficient in using the Tevalis POS system, including processing orders, handling transactions, and managing tabs.
  • Regularly audit POS data to ensure accuracy in sales, inventory tracking, and reporting.
  • Troubleshoot any issues with the Tevalis system, escalating to technical support if necessary.

Performance Expectations:

  • Bar Operations: The bar should operate smoothly, delivering top-tier customer service while meeting profitability and operational goals.
  • Staff Leadership: The Bar Manager should foster a motivated, knowledgeable, and customer-oriented team, providing clear guidance and professional development.
  • Customer Satisfaction: The bar environment should be welcoming, and all guests should have a positive experience, leading to repeat business and positive reviews.
  • Financial Management: Ensure the bar operates within budget, maintaining profitability and minimizing waste or loss.
  • Compliance: Ensure the bar adheres to all health, safety, and licensing laws while providing a safe environment for both customers and staff.
  • POS System Proficiency: Ensure that the Tevalis POS system is used efficiently and accurately by staff to optimize operations and maintain correct sales and inventory records.

Key Skills & Qualities:

  • Proven experience in bar management or a senior supervisory role within the hospitality industry.
  • Strong leadership skills with the ability to inspire and manage a team.
  • Excellent customer service and conflict resolution skills.
  • In-depth knowledge of bar operations, including inventory control, product knowledge, and financial management.
  • Experience with Tevalis POS system or similar point of sale platforms.
  • Exceptional organizational and time-management abilities.
  • Strong communication and interpersonal skills.
  • Knowledge of health and safety standards, including alcohol service regulations.
  • A passion for the hospitality industry and a commitment to creating a positive guest experience.

Qualifications Required:

  • Minimum 3 years' experience in a bar management role or equivalent experience in hospitality management.
  • Valid Manager’s Certificate (or ability to obtain one).
  • Knowledge of Tevalis POS system (or similar POS systems).
  • First Aid Certificate (preferred but not required).
  • Liquor Licensing Training (or willingness to complete upon hire).
  • Excellent knowledge of food and beverage service, including knowledge of cocktail preparation, beer, wine, and spirits.
